Filed in Drive as “Major Fair: How to do ”

This document is from a previous session and is kept for the record. It may have been amended or replaced since.

HI! This is basically a document describing how I did the major fair in 2023-2024. This document is still in progress, but is a good starting point for you all to see how the major fair works and what went into it.

August 2023

  • Tim sent an email with help from Resham about the idea of the major fair.
    • Sent it to Vice Dean Erin Rowe and Vice Dean Michael Falk, as well as the vice deans of academic advising Jessie Martin and Kimberly Bassett
    • Also included Justin Lorts of the Life Design Lab
      • He has since switched to fellowships and has expressed interest in tabling this year

September 2023

  • Met with Dean Rowe and Justin to talk about idea
    • They thought it was very ambitious, but ultimately decided to support
    • Life design was the main helpers for staff, though honestly I don’t know if they brought a lot of staff to help
    • Talked about getting First Year Experience to help
  • Met with Tarra Morgan from First Year Experience and Andrea Wiseman from Life Design lab to help with planning logistics
    • How many tables
    • Location and time
    • Budget Costs
      • The overall budget was around $4000
        • Main costs were decor and balloon arches, as well as stands for all the tables, dining cookies, and tablecloths which we should still have

October 2023

  • Generated the basis for who to send emails out to
    • East Asian Studies does not like me
    • Every department otherwise was responsive except the following: Physics and Chemistry and Africana studies
      • Biology declined, but students have expressed interest
      • Philosophy was added last minute
      • SNF agora was added last minute
      • LDL and SGA were in the great hall, but general consensus was to scrap the great hall and just focus on the glass pavilion
    • Booked the space
      • Tim will handle this this year

November 2023

  • Sent email to all professors
    • Some professors asked for information

December 2023

  • Sent official invite form to professors
    • Majority of professors wanted students to help table, which is completely fine
    • Professors and faculty have full reign of what they want to provide, with LDL and First year helping with some merchandise
  • Made all of the marketing stuff with Connie
    • We can reuse this year

January 2024

  • Met a lot with michael Gonzales for printing and flyers and distribution
    • PROMOTE PROMOTE PROMOTE
    • Ask them for printing, M. Gonzales is no longer here but he helped a lot, new person is Andrea Wiseman
  • Created the full seating doc
    • This was the hardest thing to do, I mostly shared tables with similar majors and most were fine with this. We will try to work on this together
    • This was also printed by First year, they had a map with all the stuff and gave it to everyone
  • Sent email to faculty confirming attendance
    • Gave them instructions on what needs to be done and what they need
    • All communication to faculty was by me and I think they liked that a lot

February 2024

  • Showtime!
  • Day of: Prep all the table cloths, had faculty and staff come in, people were peaking at 2-3 for the event

General Feedback from professors

  • Like the glass pavilion, don’t like the great hall, don’t want the rec center
  • Need to include some departments, like GRO and HOUR and ForagerOne and Fellowship, They all expressed interests
  • East Asian Studies is not coming again as requested
  • Need to do better in getting certain faculty to respond
  • Wanted the fair to be shorter overall, especially for departments like Econ
  • Big majors are usually ok to not go, but ask them for promotional materials at the very least or have students represent them
