Executive Board Meeting #1 — Minutes (05/02/25)

EXECUTIVE MEETING #1 May 2nd 2025 General Topics: GBM Structure:

  1. Srigouri - Bring back administrator presentations
  2. Vishnu - Agreed. Email the admin at the beginning of the semester and plan based on their availability
  3. Tara - Talk to members about initiatives they’re interested in during one-on-one meetings
  4. Srigouri - Have a calendar with admin meetings during the semester. No advisor meetings scheduled with Charles yet
  5. Srigouri - Experiment with and enforce Cohort time (10 min); maybe every other week? Because class councils don’t meet. For example, first one members meet with Mentor Mentee, second one they meet with Class Council, third one they meet with their committees
  6. Srigouri - Have the committee chair report during reports? Vishnu - Not useful
  7. Srigouri, make sure the treasurer reports on what our remaining budget is every GBM
  8. Srigouri - The budget is given to the Treasurer during the Summer
  9. Vishnu - Imad should work closely with Amy, the Finance chair
  10. Vishnu - let’s try to make GBMs as short as possible. Limit moderated caucuses and discussions time, have a form for additional questions - helps get people’s feedback without interrupting GBM time + helps get quieter people’s feedback
  11. Vishnu - inform Senators to be respectful during admin presentations and questions, no condescending questions
  12. Srigouri - dress professionally during higher-level admin meetings
  13. Vishnu - Enforce the attendance policy at the beginning of year
  14. Vishnu - Robert’s rules of order are not as important as long as people aren’t being too rowdy
  15. Srigouri - Big Initiatives for next year: Considering the current political climate, Exec should be involved in federal gov stuff - posting information and JHU + non-JHU resources for students (Community Updates, for example), have a form for students to ask the admin, set up meetings/panels with the admin

Vishnu - Big goals:

  1. Admin meetings + Posting that on social media & relaying info to Senators
  2. Managing initiatives - Spearheading bigger initiatives + directing Senators to do other initiatives they are interested in
  3. Vishnu - Big Initiatives for next year: Improve transparency with the student body. Posting regularly on social media, especially with emails being unreliable now. Having more engaging tabling - more free stuff, games, and fun events. Have occasional Zoom tabling so students can join from wherever. Communicate with the student body clearly - even when we’re facing issues, everyone has a bad impression of SGA right now. Have more of an Instagram and website presence - appoint a Director of Communications for this. How did Tara’s Grievance Hall go? If successful, replicate
  4. Vishnu - spoke to Dr. Brown, have more engaging TikTok-esque, Jubilee-style events on campus for feedback or to discuss important topics. For example, an experienced person comes to campus, sits on a quad with a “Change My Mind” sign. Or an event where JHU students rank themselves on how much they agree with an opinion. This is generally a better way to engage students in discussion as opposed to a boring lecture in a building
  5. Srigouri - How should we have Exec meetings? Vishnu - Have weekly Exec meetings, finalize times at the end of summer, 30 mins - 1 hr, discuss relevant stuff
  6. Imad - How many finance committee members? Srigouri - around 10-12 members, speak to Amy
  7. Vishnu - potentially cut down on Programming Council members, based on interest after special Elections
  8. Vishnu - set an initiative requirement - senators have to implement X (3?) number of initiatives per semester. Srigouri - set a requirement that senators have to come to X (2?) amount of tabling/other events per semester
  9. Vishnu - Use GroupMe as an informal way for members to communicate. Srigouri - use GroupMe more, use @General in Teams
  10. Vishnu - Continue to have meetings over the summer when necessary, Exec meetings routinely during the semester
