Plan:

Phase 1

End of May/Summer:

  • Identify and Update Contact Information for the schools
    • Delegate: Draft email through the Director of Communications, contact information sought for/updated by PRDC
    • Using the current spreadsheet, send emails out to the listed contact information, asking if the current information is up to date, and if not what forms of contact should be used instead for new administrations. Not listed contact information should be found, including information for other JHU rep. orgs.

Phase 2

September

  • Initial Outreach
    • Email Introductions and Meeting Requests
      • Introduce the JHU SGA, and our missions/goals for the year, and request other organizations for similar information to determine alignments with our body.
      • Determine which groups are relevant to JHU SGA and on what frequency contact should be had with organizations whether through meetings, emails, group chats, etc.
      • With the categorization of organizations, set up meetings and methods of communications.
    • Follow-Up

October

  • Active Engagement
    • Attend Representative Body Meetings and Presentations
      • Send delegates from JHU SGA to representative body meetings from other organizations at JHU.
      • Establish concrete meeting times with frequency dependent on the necessity with each organization to ensure communication will not fizzle out.
    • Schedule Meetings with Relevant Committees or Representatives
      • When goals align, meet with relevant organizations to determine the best modes of action to use collective institutional power to leverage change.

November

  • Follow-Up and Evaluation
  • Evaluate Progress and Develop Recommendations
    • Determine the level of success of the program, and re-evaluate consistency of meetings if necessary, as well as if any gaps exist.

It is important to note that we will need to communicate with the other representative bodies in advance to inform them of our summer break and the delayed start to our outreach efforts. This will help manage expectations and ensure that our efforts are well-coordinated and effective upon our return in September.
